We are seeking a highly organized and detail-oriented Administrative Officer to oversee and manage administrative functions, ensuring smooth day-to-day operations of the college. The ideal candidate will deliver high-quality administrative support and demonstrate a strong commitment to efficiency, accuracy, and professionalism. A Master’s degree in a related field is highly preferred.
Key Responsibilities
1. Administrative Operations:
Oversee and coordinate all administrative activities to ensure seamless functionality.
Develop, implement, and maintain office procedures to streamline operations.
Manage document control, record-keeping, and data entry in compliance with institutional policies.
2. Support to Leadership:
Provide direct administrative support to the Dean and other key personnel.
Assist in the preparation of reports, presentations, and correspondence.
Schedule and organize meetings, including agenda preparation and minutes recording
3. Communication and Liaison:
Serve as the primary point of contact for internal and external stakeholders.
Ensure effective communication between departments, staff, and leadership.
Address inquiries and resolve administrative issues in a timely manner.
4. HR and Staff Coordination:
Manage staff schedules, leave requests, and attendance records.
Assist with recruitment processes, onboarding, and staff development initiatives.
Qualifications and Skills
Education:
Bachelor’s degree in Business Administration, Management, or a related field (Master’s degree highly preferred).
Experience:
An experience in administrative roles, preferably in an academic setting.
Skills:
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities both in English and Arabic.
Proficiency in office management software (e.g., MS Office Suite, Google Workspace).
Familiarity with task management and HR software is a plus (e.g., ClickUp, jira, Trello, or similar tools).
Attributes:
High attention to detail and accuracy.
Ability to work independently and handle multiple tasks efficiently.
Strong problem-solving skills and proactive attitude.
